How to compare home care quotes
A quote is easier to understand when it describes the same kind of support you asked for. Two figures alone cannot show whether the proposed visits, tasks and terms are alike. Before choosing a provider, write down your household's priorities and ask each agency to explain its offer in plain language.
This guide gives you a way to compare quotes without assuming a particular fee or booking condition. It applies to questions you can put to any agency, including Alcove. The cost and funding page offers more context for a conversation about care options.
Describe the same request
Start with the person who may receive care. Ask which activities they want help with, when they prefer a visit and what matters to them about having someone in their home. Include the family caregiver's needs too. The result might be a list of tasks, preferred days and times, and any flexibility you would consider.
Give each agency the same description, including the location and the support requested. Ask which tasks are included in its proposed service and which are outside its scope. If the request involves health care or treatment, ask the care team or doctor who should handle it. A quote for a different set of tasks is not a direct comparison.
Ask each provider to identify anything it still needs to know before it can give a quote. Record the date, the person you spoke with and any assumptions in the answer. If the proposed schedule changes, ask for the revised details in writing so you can compare the current versions.
Ask what each quote includes
Ask how the agency calculates its charge and what the quoted amount covers. Are there minimum visit hours or a minimum booking? Are rates different for evenings, weekends or holidays? Ask whether travel, taxes or other charges may appear, and how the provider explains them on an invoice. These questions seek the provider's terms; the answers may differ.
Ask what happens if a visit is changed or cancelled, including any notice requirements or charges. Ask what happens if the agency cannot provide a scheduled visit. Request a copy of the relevant terms and check whether a proposed change requires a new quote.
Do not let an unexplained item disappear into a total. Ask what each charge represents and who can answer billing questions. If a quote is unclear, note the exact question to follow up on. A written answer gives the household something concrete to discuss before agreeing to a plan.
Use one comparison checklist
For each provider, record:
- The proposed tasks, location, days and times.
- What is included in the quoted amount and any items still to be confirmed.
- Any other charges, taxes, billing arrangements and payment terms explained by the provider.
- The rules for changing or cancelling a visit, and the contact for questions.
- The person's preferences, any concerns and the date you received the information.
Look at the whole arrangement rather than a single number. A schedule that does not fit the person's routine may need another discussion. So might a service description that leaves a desired task unanswered. Ask for clarification rather than guessing that the same words mean the same thing at every agency.
If you are also considering public support, ask the public provider about its own process and what information it needs. Ontario's home care information and Home Care Ontario are further reading. Check current eligibility and funding details with the organization responsible for the service.
Frequently asked questions
Should I ask about a minimum?
Yes. Ask each agency whether a minimum visit length or booking applies to the schedule you are considering. Ask how that condition affects the quote and whether it changes for a different request. Record the answer with the proposed dates and tasks.
How do I compare offers that cover different tasks?
List what each agency has included and ask whether it can quote on the same request. If a task is outside a provider's scope, mark it clearly and discuss who might handle it. For a health care question, ask the care team or doctor.
What if a charge is not clear?
Ask the provider to explain the item and show how it appears on a quote or invoice. Request written terms for changes and cancellations as well. The agency questions guide has more topics to raise before choosing care.
